Tokiphon General Policy

TOKIPHON GENERAL POLICY

1. Program Admission and Placement

Tokiphon reserves the right to determine appropriate placement for each student based on an individual assessment. Taking a placement assessment or exam does not guarantee admission. Placement depends on available openings in each level. If no space is available, the student may be placed on a waiting list.

Group classes are designed for students who can focus and participate independently. Tokiphon is not equipped to serve students who require one-on-one or specialized developmental support. Admission is not guaranteed.

2. Parental Supervision Required

A parent or responsible adult must remain present and attentive during every Tokiphon session. Tokiphon does not assume responsibility for a child’s safety, supervision, or behavior. Parents must ensure a calm, distraction-free environment and may not coach, guide, or interrupt instruction. Repeated interference may result in warnings or removal from the program.

3. Technology Requirements

Students must join class on time with:

A working camera and microphone (camera must remain on unless approved)

A quiet, well-lit environment

A stable internet connection

A computer or tablet (smartphones are not recommended)

A headset or earbuds for clear audio

Tokiphon is not responsible for missed content or disruptions caused by poor internet or device issues.

Facial Visibility Requirement
Because Tokiphon teaches phonics and pronunciation, students must have their full face clearly visible on camera at all times, including eyes, nose, and mouth. This visibility is essential for accurate pronunciation feedback and instruction. If the student’s face cannot be seen, the class may be paused or the student may be temporarily removed until corrected. This rule is based solely on educational necessity and applies equally to all participants.

4. Class Conduct and Participation

Students are expected to:

Arrive on time and stay for the full session

Participate respectfully and follow directions

Avoid eating, chatting, or multitasking

Stay focused on class content only

Topics unrelated to the lesson are not permitted during class. Cameras, microphones, and participation may be paused or restricted at the teacher’s discretion due to behavioral, safety, or privacy concerns. If visibility or camera compliance cannot be maintained, participation may be halted until corrected.

Classes begin and end exactly on time. There is no additional time for parent discussion or extended instruction after class. Parents wishing to discuss progress or concerns must schedule a separate private meeting using their preferred contact method.

5. Behavior and Immediate Removal

Unacceptable conduct by students or parents may result in immediate disconnection. This includes profanity, aggression, inappropriate attire, or refusal to participate.

Escalation Procedure

First Incident – Verbal warning

Second Incident – Written notice

Third Incident – Permanent removal with no refund

6. Child Protection and Environment

Tokiphon maintains a zero-tolerance policy for abuse or neglect. If harm or distress to a child is observed, the session will end immediately and may be reported to authorities. All classes must take place in a safe, supervised environment.

7. Media and Copyright

Tokiphon does not record classes. Recording, screenshots, or redistribution of Tokiphon materials without written permission is prohibited. All lessons, visuals, and curriculum are the copyrighted property of Tokiphon.

8. Communication Policy

Parents may be contacted by email, WhatsApp, LINE, or KakaoTalk for reminders or updates. Group messages may be used with prior consent. By joining a group class, families understand that first names and basic shared interactions may be visible to other students.
Private matters must be handled through a scheduled meeting with the teacher.

9. Payment, Renewal, and Attendance

Payment must be received before class begins. Students cannot attend if payment is not completed.

Subscriptions may automatically renew monthly through Shopify. It is the parent’s responsibility to cancel before the next renewal date if they do not wish to continue. Missed classes due to non-payment, absence, or scheduling conflict are not refundable or transferable.

10. Liability Disclaimer

Tokiphon provides educational instruction only. Lessons do not constitute therapy, childcare, or diagnostic evaluation. Results vary by student. Tokiphon is not liable for indirect or consequential damages resulting from participation, website use, or merchandise purchase. Parents remain responsible for their child’s safety during sessions.

11. Child Safety Compliance

Tokiphon follows standards consistent with COPPA (United States), GDPR (European Union), APPI (Japan), and PIPA (South Korea). The tutor maintains professional conduct and requires that cameras remain on for accountability and safety.

12. Makeup Classes

Tokiphon may take up to two regular teaching days off per month as scheduled breaks. If an additional cancellation occurs, a makeup class will be offered on a weekend (Saturday or Sunday). Refunds are not issued for these adjustments.

13. Merchandise and Print-on-Demand Items

Tokiphon offers branded merchandise through Printify and similar fulfillment partners. All merchandise is printed to order and all sales are final.

No refunds or exchanges are available for:

Incorrect size or color choice

Buyer’s remorse

Minor color or placement variations

Shipping delays outside Tokiphon’s control

within seven days of delivery with photo evidence. Verified defects will be replaced or credited at Tokiphon’s discretion.

14. Intellectual Property and Website Use

All content on Tokiphon.com, including text, graphics, logos, and characters, belongs to Tokiphon. No material may be copied, reused, or distributed without written permission.

15. Third-Party Services

Tokiphon uses secure third-party platforms including Shopify, PayPal (via Shopify), Printify, and Google Workspace. Each provider maintains its own privacy and refund policies. Tokiphon is not responsible for outages, data handling, or service interruptions caused by these platforms.

16. Legal Jurisdiction

All disputes or claims related to Tokiphon shall be governed exclusively by Mexican law. Proceedings must take place in the courts of Chiapas, Mexico. Tokiphon is not required to travel internationally for any legal matter. Participants agree to resolve disputes through written or virtual mediation under Mexican law.

1. Privacy Commitment

Tokiphon values privacy and transparency, especially when serving children. This policy complies with COPPA (United States), GDPR (European Union), APPI (Japan), and PIPA (South Korea).

2. Information Collected

Tokiphon collects only the data required to provide services:

Parent name, email, and contact details

Child’s first name, age, and assessment data

Attendance and progress notes

Payment information processed securely through Shopify Payments and PayPal (both handled within the Shopify platform)

Tokiphon does not store or access card details directly.

3. Use of Data

Information is used only to:

Place students in classes and track progress

Communicate with parents

Improve educational services

Data is never sold or shared with third parties.

4. Storage and Security

All data is securely stored and accessible only to the tutor. Parents may request access, correction, or deletion of their child’s data by emailing hello@tokiphon.com
. Requests are processed within 30 days in accordance with applicable laws.

5. Camera Use and Visual Requirements

Because phonics instruction requires accurate observation of articulation, students must keep cameras on with their full face visible, including eyes, nose, and mouth. This ensures proper pronunciation feedback and instructional quality. Camera feeds are viewed live only and are never recorded or stored. This requirement applies equally to all participants and is based solely on educational necessity.

6. Cookies and Analytics

Tokiphon.com uses cookies for website functionality and anonymous analytics through Shopify. Users can disable cookies in their browser settings without affecting essential site access.

7. International Transfers

By using Tokiphon services, users consent to the secure transfer and storage of data on servers located in or outside Mexico, in compliance with international standards.

8. Refund Policy for Classes

All purchases are final and non-refundable due to the individualized nature of instruction.

No refunds are issued for:

Missed classes due to absence, illness, or scheduling conflicts

Dissatisfaction with class format or teaching style

Internet or device problems

Withdrawal after the billing cycle begins

Tutor-Initiated Cancellations
Tokiphon may take up to two regular teaching days off per month. If additional cancellations occur, a makeup class will be offered on a weekend (Saturday or Sunday). Refunds are not provided. In exceptional cases, a class credit may be issued at Tokiphon’s discretion.

Billing and Commitment
Tokiphon operates on a monthly billing cycle with automatic renewal. Families who wish to cancel must do so before the renewal date. Payments must be received before the start of the new cycle. Students cannot attend classes if payment is incomplete. Sessions are not pro-rated, paused, or transferred. Families may simply choose not to renew for the next month.

9. Refund Policy for Merchandise

All merchandise is produced through Printify or similar fulfillment partners. All sales are final.

Refunds or exchanges are not available for size, color, or preference.

10. Liability and Disclaimer

Tokiphon is not liable for indirect or consequential damages resulting from participation or product purchase. Parents are responsible for their child’s safety and supervision.

11. Intellectual Property

All Tokiphon text, lessons, illustrations, and characters are original works protected by copyright. Materials may not be copied or redistributed without written consent.

12. Third-Party Platforms

Tokiphon uses Shopify, PayPal (via Shopify), Printify, and Google Workspace. Each platform has its own privacy and data-handling policies. Tokiphon is not responsible for technical issues, outages, or data managed by these services.

13. Jurisdiction and Dispute Resolution

This policy is governed by the laws of Mexico. Any disputes shall be resolved exclusively in the courts of Chiapas, Mexico. Tokiphon is not required to travel internationally for legal proceedings. All communication and resolution will take place in English, through written or virtual means.
